Our Simple Booking Process

For holiday enquiries contact us by phone on 01257 248007 or complete our group enquiry form hereOnce we receive your holiday requirements we will create an offer best suited to your group. This will outline the holiday details including costs, room allocation and itinerary. We will call you to discuss the offer and any further requirements.
Once you are in a position to go ahead with the holiday contact us by email or phone. We will send you a contract which will reserve the date and rooms at your chosen hotel for 7 days. 
To confirm, the contract will need to be signed and returned to us along with the £100 holding deposit. Payments can be made by debit/ credit card over the phone, cheque or BACS transfer.

Your Group Organiser Pack will contain passenger booking forms and a special requirement form which can be returned via email or by FREEPOST. A further per person deposit payment will be required when you return your forms. For any travellers wishing to take out insurance with Alfa Travel please note we will require the payment beforehand to cover the premium.

For Jersey by Air breaks and River Cruises it is important to ensure the details are submitted correctly at the time of booking as amendment charges may apply.

Deposits

An initial holding deposit of £100 is required to confirm your group holiday. Followed by a further:

£40 per person for UK, Ireland and Continental Coach Holidays

£100 per person for River Cruises

£150 per person for Jersey by Air breaks

Tips to Booking your Next Group Holiday

  • Book in Advance - This will give you plenty of time to arrange a date that is suitable for your group. Also take advantage of our single rooms by booking early.
  • New Organisers - Book an existing holiday from our current brochure and amend the itinerary to suit your group.
  • Room Allocation - To ensure a smooth booking process discuss your room requirements with your group beforehand.
  • Advertising - Let us help you with promoting holidays to your group. We can create flyers and posters to assist in selling your holiday.
  • Set a Closing Date - Prompt people to reply early by setting a deadline for final bookings.
  • Avoid Cancellation Charges - Add people onto a waiting list should others cancel so the cancellation can be easily replaced and you can evade charges.
  • Deposits - Ask for the deposits to be paid by a fixed date. Set a date which is at least a week before the payment is due to ensure you have the money in time.
  • Payment Record - Download our form here to keep a record of all the payments made towards your group tour.
  • Special Requirements - We will do our best to accommodate special requests such as mobility and general health issues. Simply complete our booking form here.
  • Confirmations - Check the booking confirmations once they arrive to make sure they are correct. Contact your Alfa Groups Team for any queries.
  • Final Balance - 10 weeks before departure we will send you a group invoice showing the cost breakdown. The invoice will be sent in plenty of time so you can start collecting your payments a couple of weeks before the final balance is due and have the monies in time for payment- 6 weeks before departure.
  • Welcome Home - We will give you a call on your return as we really appreciate feedback from you and your group.

Familiarisation Trips

Our familiarisation trips are offered at a reduced rate and give group organisers and their partners the opportunity to experience an Alfa Travel Holiday first-hand. You will visit a selection of attractions using Alfa coaches, stay at one of our selected Leisureplex Hotels and see for yourself how Alfa Leisureplex Team work cohesively. The more first-hand experience you have, the better you will be able to choose the perfect holiday for your group!

Your Booking

Yes, for cancellation charges please refer to the terms and conditions which can be found in the <a href=”https://www.alfatravel.co.uk/terms-conditions/”>Here</a>

Provided that you have someone to take their place, no cancellation charges will apply

We will move them into a single room if one is available. However, a supplement charge will apply for any cancellations made with more than 42 days to departure.  If the member cancels with less than 42 days to departure then there will be no additional charge.

 

Charges may apply on our preferred partner hotels, river cruises and Jersey by air holidays.

Some hotels including Leisureplex hotels operate a series of different sittings so it may not be possible to seat your group together for the same meal. Table number and times will be allocated to each guest on arrival.

Special Requirements

To guarantee a suitable room and total enjoyment of your holiday, we have a dedicated care department to assist with any special requests. Complete the special requirements form here or call our customer care on 01257 248134 and complete it over the phone.

Each group booking may include a maximum of two scooters. For each scooter agreed a passenger would have to be forfeited off the maximum coach total to comply with Health and Safety standards. The above restriction applies to full group bookings only and should passengers travel with us on a part group or individual basis then normal scooter terms and conditions apply, which can be found in the Alfa Travel Brochure.

Payment

Six weeks from the date of booking we ask for a £40 deposit per person. This is to enable you to collect the deposits from your group members.

The exact date is printed on the individual invoices which is normally 6 weeks prior to departure.

The free places are discounted on the tour 10 weeks before departure. Free places are offered on the 21st, 31st, 41st and 48th passenger travelling.

The Coach and Driver

We generally offer 4 pick-up points of your choice.

You can decide who sits where by completing our coach seating plan here or you can let your members sit where they want. The choice is yours!

Yes, and we will do our best to allocate the driver to your tour. However this cannot be guaranteed.

Itinerary

An extra £10 per person charge will apply.

An admin fee will be charged if any change is made to the group itinerary 1-4 weeks prior to departure.

Tickets, itineraries and luggage labels will be sent at least 2 weeks before departure.

Sales Support

Passenger numbers are reviewed 12 weeks before departure. If your numbers are less than predicted then we can look at either re-costing the tour or looking at other options to guarantee your tour goes ahead.  

A member of our groups’ team will be delighted to come along to one of your meetings to help present the holiday and answer questions they may have. Alternatively we can create promotional material such as flyers and posters to help advertise the tour.
