Privacy and Client Confidentiality

Your privacy is important to us and we always do our utmost to ensure it is protected. This section describes what data we have, how we collect it, how we store it and what we do with it.

General

  • Alfa Travel Ltd and our associated hotel company Leisureplex Ltd have a unified data processing centre and information may be shared between the two companies.

  • We do not sell, rent, or share your data with any third party except as outlined in the Sharing Information section below.

  • We try to minimise the personal information we keep about you to just what we need to satisfy your requirements on a particular holiday. Hence we only store personal information about your credit card, disabilities, wheelchair use and dietary requirements on individual bookings and these have to be declared to us separately for each booking you make with us.

  • Under the Data Protection Act, you have a right to access the personal data we hold on you. You must make any request for access in writing and we have up to 40 days to respond. We may not respond if in doing so we would be forced to disclose to you information concerning another individual. We charge a £10 fee for this service.

Your Information

The information we collect includes:

  • Your name, contact details, travel preferences, special needs, disabilities and dietary requirements.

  • Similar information about other persons on your booking.

  • You are responsible for ensuring that other members of your party are aware of the content of our Privacy Policy and consent to your acting on their behalf in all your dealings with us.

How We Collect Your Information

The only personal data we collect is that which you provide as a result of:

  • Making a purchase from us on our web site, over the telephone, in person at our offices or via a travel agent

  • Requesting a brochure from us

  • Participating in a sales promotion

Sharing Information

  • We may disclose your information to our suppliers so that we can provide you with your holiday services, including transfers, flight, holiday or insurance, etc. Only information that is necessary for this purpose is disclosed.

  • We may disclose your information to statutory authorities where required by law.

  • We may use your information for the purposes under which we are registered under the Data Protection Act and we may disclose your information to companies who carry out data processing services on our behalf.

  • Some of the sensitive personal data we collect may need to be shared with insurers or health authorities in the event of an incident. For example, if you become ill and your illness is infectious, we may need to make special arrangements for you and also ensure that you do not return with the group immediately.

  • We sometimes receive requests to make contact with other guests who have been met on holiday. Our policy in such cases is to forward the request to the person who is being sought but not to disclose any information to the person seeking the information.

Direct Marketing Material

  • We may from time to time contact you by post or email with information on holidays and related services, brochures, offers, new products, forthcoming events or promotions.

  • If you do not wish us to include you on our mailing list, please send an e-mail to sales@alfatravel.co.uk and we will ensure you are not sent any further publicity material.
